Intelligent asset management solution for diagnostic and treatment equipment based on RFID technology

1. Project feasibility

At present, the management method of fixed Assets in Hospital outpatient clinics mainly adopts human management and paper records:

1. Due to busy work, the maintenance records of hospital outpatient equipment are often omitted or filled in incorrectly.

2. Paper records cannot provide convenient viewing functions.

3. When the outpatient department is demolished, it is easy for equipment to be lost or idle.

4. The use cycle of the equipment cannot be recorded in detail.

This management method is inefficient, has a high error rate, and cannot quickly find specific diagnostic and treatment equipment in an emergency. Reforming the existing management mechanism and improving the fixed ASSET MANAGEMENT capabilities have become urgent problems facing the current hospital outpatient clinics.

2. Introduction to RFID technology

2.1 RFID technology

RFID is a wireless radio frequency identification technology, which is an automatic identification technology that emerged in the 1990s. A typical RFID system consists of RFID tags, RFID Readers and wireless antennas, integrating multiple functions such as numbering, media, identification and communication. Its key mechanism is to use electromagnetic waves to read and write and identify the information in the RFID tag, which has the characteristics of non-contact. In specific applications, the RFID reader writes data information in a specific format into the RFID tag and sticks the tag on the surface of the object to be identified. The RFID reader can identify and identify the electronic data Stored in the tag without contact, thereby realizing the long-distance, blind-zone collection and wireless data transmission of object identification information.

2.2 Advantages of RFID technology in asset management methods

Non-contact data collection: RFID technology has greatly improved the ability of managers to collect, exchange and track information on medical items. Managers do not need to go to the equipment in person. They only need to place the documents or equipment with RFID tags in front of the RFID reader. By clicking or touching the system menu bar, the actual category, quantity, introduction and other information of the equipment can be displayed on the computer screen, which reduces the workload of managers, improves work efficiency, and is conducive to the implementation of dynamic document management by managers.

Fast scanning and large-scale data processing: RFID readers can quickly read multiple data information such as storage location information, document or equipment overview contained in multiple RFID tags at the same time. For example, some RFID readers can read data information of 200 tags per second, which is more than 100 times faster than traditional scanner methods.

Large label information capacity, long service life, and reusability: Compared with traditional data storage devices such as barcodes and IC cards, RFID tags can store more information, with a capacity of up to 1K or even higher. The content of RFID tags can be read and written repeatedly without damaging the function of the tag, thereby realizing multiple reuse of the tag.

High security: The data storage of RFID tags has password settings, and the identification code is unique and cannot be imitated. These highly secure protection measures ensure that the information on the label is not easily tampered with and forged.

Strong anti-fouling ability and durability: The medium of traditional barcodes is printed paper, which is easily affected by environmental pollution, while RFID has strong resistance to substances such as water, oil and reagents; in addition, because the barcode is attached to the packaging bag or outer packaging carton, it is easy to be damaged; while RFID tags store data information in integrated circuits, so they are not easily damaged.

Miniaturization and diversified appearance: RFID has no restrictions on size and appearance, and does not need to cooperate with fixed specifications and packaging printing quality to achieve better reading accuracy. In addition, RFID tags can be developed in terms of miniaturization of size and diversification of shape to suit different document management.

Real-time positioning and tracking: Through RFID technology, the location information of diagnostic and treatment equipment can be obtained in real time, including equipment in use and idle equipment. Managers can query the specific location of the equipment through the system to avoid the loss or misplacement of the equipment.

Automatic data recording and statistics: RFID technology can automatically record the use of equipment, maintenance records, and equipment use cycle information. Through the data statistics function of the system, managers can quickly obtain the use of equipment and maintenance records, providing a basis for equipment maintenance and updates.

Improve work efficiency and reduce error rates: The application of RFID technology can reduce the workload of manual operations and paper records and improve work efficiency. At the same time, because RFID tags are unique and highly secure, they can reduce the occurrence of human errors and information errors and improve the accuracy and reliability of management.

III. Implementation plan

Label production and attachment: Make RFID labels for each diagnostic and treatment equipment and stick the labels on the surface of the equipment. The labels should contain the unique identification code of the equipment, equipment name, model, manufacturer, purchase date and other information.

Install RFID readers and antennas: Install RFID readers and antennas at key locations in the outpatient department. The RFID readers can be connected to the computer system to read and process data through software.

Data entry and system configuration: Enter the basic information of the equipment into the system and configure it accordingly, including equipment classification, specifications, and user departments.

Equipment inventory and positioning: Through the RFID reader, the system will automatically identify the equipment's tag information and record the location of the equipment. The management personnel can query the specific location of the equipment through the system.

Maintenance records and use cycle management: Through RFID technology, record the maintenance and use cycle of the equipment. The management personnel can query the maintenance records of the equipment through the system and perform maintenance and updates according to the use of the equipment.

Data statistics and report generation: The system generates corresponding reports based on the use of the equipment and maintenance records, and provides them to the management personnel for data analysis and decision-making.

5. Introduction to the system function of RFID asset management system software

5.1 Real-time positioning and tracking

Through the RFID asset management system software, users can track and locate the location of medical assets in real time. After logging into the management software, users can see the device location corresponding to each building on the system's precise positioning interface. When different terrain maps are displayed, the system will display the online status of all devices on the map. Devices without the building will not be displayed on the map. When the device moves, the point represented by the device will move with the movement of the device to ensure the accuracy of tracking and positioning.

5.2 Real-time tracking

In the case of a large number of medical devices, relying solely on the map to search for itself will take a lot of time, and the location of the device may change continuously, resulting in the inability to find the device. Therefore, through the real-time tracking function, regardless of whether the device is stationary or moving, users can effectively view the device's real-time location.

5.3 Motion trajectory playback

When there is a question about a certain device, the user can view the trajectory of the device through the motion trajectory playback function. The system can clearly restore the location of the device in a certain period of time and display it in chronological order to ensure that it is clear at a glance.

5.4 Alarm information

When an unauthorized device leaves or enters an unauthorized area, the system will trigger an alarm message, and the mobile client of the real-time monitoring staff will pop up an alarm window. The alarm information will display the corresponding device, alarm type, alarm time, alarm location and other information to ensure that the user clearly understands the relevant information.

When the supervision device exists in the area, the system can be linked in real time to ensure the real-time transmission of the interface, making the on-site situation clearer.
