RFID Intelligent Asset Management Design Solution

1. System Significance


Fixed Asset MANAGEMENT is an important part of enterprise management. The characteristics of fixed assets such as large quantity, variety, high value, long service life, and scattered use locations make management difficult. The traditional manual accounting method can no longer meet the needs of management, resulting in asset loss and repeated purchases. In recent years, some fixed asset management software has emerged. Although it has solved the problem of manual accounting to a certain extent, the data entry speed is slow and prone to errors, and the physical and accounting information are seriously disconnected, which cannot meet the needs of modern enterprise management.

3. System overall architecture


APS real-time positioning tracking and Access Control management system is an application system that uses ultra-high frequency RFID technology. The system uses RFID electronic tags as the unique identification of assets to achieve asset positioning tracking and access control management functions.


1. Asset regional positioning


In terms of asset regional positioning, the system uses ultra-high frequency RFID technology to attach an RFID ultra-high frequency tag to each mobile asset and install a corresponding long-distance RFID Reader in the machine room. The RFID reader can automatically identify the tag ID information carried by all fixed assets and monitor the status of all fixed assets in real time. If an asset is illegally taken out without permission, the system will send information to the monitoring center and trigger an alarm. Only authorized legal fixed assets can be safely taken out, thereby ensuring the safety of each fixed asset.


2. Regional precise positioning


In terms of regional precise positioning, the system can locate assets in key areas and realize alarm prompts and video linkage functions. By installing RFID Antennas, the system can locate assets when they enter specific areas and trigger alarms, and combine video monitoring functions for linkage analysis.


3. Regional fuzzy positioning technology


(1) Daily operation management of assets, mainly including asset purchase and storage, use and out of storage, asset addition, modification, transfer, borrowing, return, scrapping, maintenance, depreciation and other daily management work. Each fixed asset can also be attached with an asset photo to facilitate viewing of images of valuable items. Among them, asset transfer, asset borrowing, asset maintenance, and asset scrapping fully realize the electronic approval process;


(2) Fixed asset report, query the fixed asset classification statistical monthly (annual) report, the monthly report of fixed asset increase (decrease) this month, and the monthly report (annual report) of fixed asset depreciation according to the conditions of unit, department, time, etc., and print the report;


(3) Real-time asset positioning, query, and print the activity trajectory and distribution of the controlled target quantity in the current and a certain time period;


(4) Asset information collection, verification, and inventory, the reader collects the asset active tag information in real time for inventory, verifies the data uploaded by the reader with the data in the database, and makes appropriate processing for abnormal data, such as scrapping and exiting assets with inventory losses. It can also generate inventory surplus and shortage detail tables and inventory summary tables by unit and department;


(5) When assets are brought into restricted areas, the background system will automatically alarm. Some areas are restricted areas (warning areas, dangerous goods source areas, etc.). When unauthorized assets are brought into restricted areas, the background system will automatically alarm and pop up a video window of the incident point;


(6) Asset area out-of-bounds alarm, unauthorized departure alarm. Fixed assets in a specific area cannot be taken out of the area without authorization. Once they leave the area illegally, the system will automatically alarm, and the departure asset information and location information will be automatically displayed;


(7) Asset anti-theft and borrowing extension alarm


(8) Authority control function: users are divided into different roles, and different roles can have different operation permissions. The read, write and display of fixed asset data can be controlled to the field. Each branch can have its own authority system.


The entire system will do its best to maintain the user's existing network system and application system, and reserve interfaces that can be combined with existing application systems or future application systems to achieve multi-party unified management functions and reduce or avoid user duplication of investment.


4. System functions


The system has multiple functions, including daily operation management of assets, generation of fixed asset reports, real-time asset location and query, asset information collection and inventory, asset anti-theft and borrowing extension alarm, authority control, etc. Through these functions, users can comprehensively manage and monitor fixed assets to ensure the safety and effective use of assets.


5. Interface docking and authority control


(1) Prevent authorized assets from being illegally taken out of unauthorized areas. For example, when an asset is authorized to be used inside a building and the borrower intentionally or unintentionally carries the asset outside the building (without secondary authorization), the RFID access control device collects relevant information and transmits it to the background for comparison, triggering the alarm device to sound an alarm; only fixed assets that have been authorized twice can be taken out of the building, and at the same time, the relevant information of the fixed assets (such as borrower, borrowing date, out-of-stock time, etc.) is automatically recorded in the database;


(2) As long as the unit leader or unit employee carries the electronic tag with them, the attendance function can be completed by passing through the access control (the employee's name, position, working hours and other related information are automatically entered into the database), and the attendance report for each time period of the week and month can be printed according to actual needs; prevent strangers from breaking into the office building under various names to ensure the safety of various valuable assets and administrative personnel; register and issue temporary passes to visitors and external business personnel allowed by the leader.


(3) Real-time monitoring function. System managers can view the entry and exit of assets in each gate area (with photos displayed) and the status of each gate area (abnormal status alarm) in real time through PC.


(4) Entry and exit record query function. The system can Store all entry and exit records and status records, which can be queried according to different query conditions.
